The API automates the submission channel

The EUDR Information System API enables machine-to-machine interaction with the official platform. It can reduce manual work when a business manages statement or simplified-declaration information in its own systems. The integration must follow the current Commission specification and the business's legal role. It does not automate away the responsibility to perform due diligence or turn a technical success response into a substantive compliance finding.

The official operator documentation describes SOAP services and the current V3 contract for ordinary statements and simplified declarations. Use the live official reference, schemas and release information as the implementation authority. Avoid designing a generic REST integration from the term API alone, and do not assume the payload used by an older EUDR service remains valid under the revised actor and declaration model.

Map legal records before mapping fields

Define whether the business submits ordinary due diligence statements, qualifies for simplified declarations, acts as an authorised representative, or merely registers as a non-SME downstream business. These are different cases. A software data model that makes every downstream purchase create an ordinary statement can encode an obsolete interpretation of the law even if all network requests are technically valid.

Map product descriptions, codes, units, origins and responsible entities to the current Annex II or Annex III information. Preserve source provenance and approval status. For example, a product master may contain a commercial species name while a wood statement requires the applicable full scientific names. Flag that mismatch before the integration builds a legally incomplete request.

The Information System guide explains the legal record model. Use it with the current official technical documentation to agree the data contract between procurement, compliance and the integration team.

Identity, credentials and operator context

Authentication and authority to act for a legal entity are separate concerns. The official V3 documentation describes WS-Security credentials and operator context for users linked to more than one operator. A technically authenticated request can still fail if the service cannot determine which operator is represented. Treat operator selection as a controlled part of the request rather than relying on an accidental default.

Keep credentials out of public source repositories, ordinary application logs and customer-visible error messages. Restrict service access to the functions it needs and define who manages staff or supplier changes. If an external provider runs the integration, the operator should retain access to its records and an exit route that does not depend on the provider continuing to hold the only copy of the submission history.

Acceptance and production must remain distinct

Use the acceptance environment for integration testing and production for legal submissions. Label credentials, endpoints, internal job records and returned identifiers by environment. A test submission that looks realistic is not a valid production record, and an application should prevent its reference from being copied into an actual shipment release process.

Test more than the easiest successful example. Include invalid geometry, a missing required field, an incorrect entity context and an interrupted response. Establish how the system records these outcomes and how a user resolves them. Follow the current official onboarding and connection requirements rather than relying on a historic conformance procedure whose details may have changed.

Reconcile operations and avoid duplicate declarations

Assign an internal job identifier and retain the approved request, transmission time, response and resulting regulatory identifiers. When a call times out, the remote system may have received the request even though the local application did not receive the result. Use the official retrieval and error-handling behaviour to determine the outcome before resubmitting, instead of treating every timeout as proof that nothing happened.

Separate transport, validation and business-status errors. A network outage, a schema error and a legal amendment lockout require different responses. The integration should route unresolved cases to a person who can understand the cause, while blocking any transaction that depends on an outcome not yet established. A background retry loop should not quietly create alternative records until one response appears successful.

Versioning, grouping and release control

The September 2026 user guide describes interface grouping and deployed simplified-declaration version tracking. Some API documentation still contains release-dependent warnings about corresponding service functions. An available interface function does not establish that every corresponding API action is supported in the environment you are using. Verify supported operations and migration requirements against the current reference and release notes before enabling them.

The bulk processing guide distinguishes data imports from the restricted grouping mechanism. Keep a release checklist that records the tested specification version, applicable limits, representative test results and rollback arrangements for the integration. Changes should preserve the traceability between existing legal submissions and commercial records. Software deployment success is useful evidence of technical readiness, but it remains separate from the operator's authority to release a particular product.

Document ownership of the integration's reference data too. Product classifications, quantity conversions and legal-entity identifiers can change independently of application code. A successful software deployment does not ensure those values remain correct. Use controlled updates and a sample reconciliation after a material reference-data change, so the business can distinguish a code regression from a newly introduced error in the source records supplied to the service.
